General procedure for the acceptance of secondhand vehicles at the Port of Antwerp (Antwerp Euro Terminal, AET), applicable as from July 2005

 

A- Deliveries on Quay 1333

* The delivery of vehicles is allowed during the weekdays from 06:00 to 20:00

 

B- Beat Suter AG Labels stick in vehicles

* For cars and small vans: label to be sticked onto the left rear window (window behind driver’s side)

* For big vans, trucks, busses, heavy RoRo, etc.: label to be sticked onto the left rear window or if not available onto passengers side of the front windshield.

 

C- Weight

C1- Compulsory weight inspection


* ALL USED BIG VAN & HIGH OR HEAVY RORO (TRUCKS, BUSSES, TRACTORS, ROADBUILDING…) MUST BE WEIGHED

* All vehicles categorized under above mentioned must be weighed upon delivery on the AET. All costs for the weighing are for shipper’s account.

* AET should be able to verify the maximum admissible plated weight. If the plated weight is either, missing, illegible or tampered with, shippers will be requested to provide a copy of the certified manufacturers’ document indicating admissible weight.

 

C 2- Overloaded vehicle

* In case the weight measured by AET exceeds the maximum admissible load, the subject vehicle will be rejected for loading and not allowed to enter in to the AET.

* Costs for weighing and/or other administrative costs applicable in that respective port will be for account of the shipper.

* The terminal operator is authorized to select ANY OTHER vehicle (car, van…) besides those already specified above in case possible overload is suspected. In case after having performed weighing inspection, the selected vehicle are proven to have the maximum admissible plated weight exceeded, the subject vehicle will be put ON HOLD , pending rectification or withdrawal by shippers. In addition to the above all costs such as transfer to the weighbridge, weighing the vehicle, returning it back to the storage area, withdrawing/returning back to AET and/or any administration fee will be for account of shipper.

 

D- Technical aspects

D 1- Mechanical defects not allowing normal + safe handling during loading/discharging

* Vehicles delivered must be in condition to be safely driven or towed on board.

* Vehicles with serious mechanical defects such as BROKEN AXLES, STEERING MECHANISM, BROKEN CLUTCH, NO BRAKES, LEAKING OIL, HEAVILY ACCIDENTED, BROKEN GEARBOX (forward + reserve gear must be fully operational) will be rejected on the terminal and rejected for loading.

 

D 2- Towing eye

* In principle all vehicles should be equipped with towing eyes in the front part of the vehicle.

* In case vehicles are equipped with a detachable towing eye such vehicles should be delivered with the FRONT TOWING EYE FITTED.

* In case vehicle is non-starting during operations this EYE is the only mean to pull the unit on board the vessel in a safe manner.

 

D 3- Motor hoods/ Bonnets – Trunks

* Must be accessible at all times and under no circumstances welding or permanent sealing/ closing is allowed.

* Shipper’s have the option to close off trunks by car key or by using removable locking mechanism such as padlocks, belts, etc.

* In case of discrepancy the VIN number (chassis number) has to be reachable for verification.

* In case of fire, motor or other compartments needs to be accessible for extinguishing.

 

D 4- Battery

* All vehicles must be delivered with battery.

* Battery must be accessible at all times in order to jump start if needed

 

D 5- Seats and doors

* All doors must be unlocked at all times.

* No cargo or personal effects can be stowed onto driver’s and front passenger’s seat which are two main emergency exits in case of problems.

 

D 6- Windows

* The windows of the vehicles need to be closed at all times.

* Front screen window and both front sides’ windows must allow perfect visibility.

* In case rear window(s) are missing, transparent plastic covers must be fitted to prevent infiltration of rain.

      

D 7- Tyres

* All vehicles must be delivered with tyres in roadworthy condition.

* Vehicles presented with FLAT or heavily damaged tyres will be rejected for entering to AET.

* In case after delivery and prior to loading flat tyres are noted, these will need to be repaired prior loading in order to respect safety rules during handling of vehicles, AET can be requested to assist and provide this service in each port.

 

D 8- Ignition Switch – Electronical devices consuming power

* Ignition/ Power supply needs to be turned off at all times once vehicles is in parking condition,

* All other electronical devices consuming power lights, radio, CD player…) must be switched off in case vehicle is in parking condition.

 

D 9- Non starters

* It is forbidden to discharge non self propelling units by means other than supplied by AET.

Prior to discharge subject vehicle, assistance must be requested to AET who will then provide the proper labour and equipment for handing such vehicles in the proper manner. No respect to this rule will be reported to the shipper in question.

* All costs involved for delivering non self propelled units will be for shipper’s account.

 

D 10- Big vans – high/ heavy RoRo

* All units + 3.5 Tons (Trucks, Busses, Tractors, Road building) must be self-propelled and enter the terminal on their own power. Forward and reserve gear must be operational. If not they will be rejected for entering AET.

* Units requiring specific driving instructions should contain clear instruction available in the driving cabin at the time of delivery on AET.

* All tractor/trailer combinations delivered must have fifth wheel and king pin in good working condition.

* All cabel connections of trailers must be in good working conditions.

* Any tractor must be able to pull or push connected trailer on and off the sea going vessel, if not they will be disconnected; any possible additional loading costs will be for account of shipper.

*TOWABLE HIGH/HEAVY RORO (TRAILERS/CARAVANS/…) Not self propelled units designed to be towed on board must have towing connection in good order and standard European connection.

 

D 11 - Tankvehicle  / Loose Fueltanks

* TANKS NEED TO BE COMPLETELY EMPTY AND FREE OF GAS.

* CERTIFICATES need to be issued by a competent cleaning company and provided to Antwerp Euroterminal at time of delivery.

 

E- Cargo or Personal effects stowed inside vehicles

All cargo and/ or personal effects in the rear of the vehicle must be properly lashed/ secured in order to avoid becoming a hazard whilst loading/ discharging operations.

 

E 1- Dangerous goods are forbidden

* It’s strictly prohibited to stow any kind of hazardous (dangerous) cargo such as:

- Compressed gases (deeply refrigerated, flammable, non-flammable and poisonous) such as Butanes, oxygen liquid nitrogen, compressed gas cylinders, aqualung cylinders

- Corrosives such as acids, alkalis, mercury and wet cell batteries

- Explosives munitions, hand guns, pistol caps, fireworks and flares

- Flammable liquid and solids such as lighter fuel refills MATCHES, paints, thinners, fire-lighten

- Radioactive materials

- Oxidising materials such as bleaching powder, peroxides

- Poisons and infectious substances such as insecticides, weed-killers and live virus materials 

- Other dangerous articles such as magnetised material offensive or irritating materials.

 

* Such cargoes being undeclared are in breach with the International Maritime Dangerous Goods Code (IMDG) for transport of hazardous cargo be sea.

Grimaldi will organise random inspections which in case of obstruction will result in heavy financial Penalty in case vehicle already on board the vessel, or non-acceptance of the vehicle for shipment if Unit still on the terminal.

 

E 2 - Stuffing/Stripping Personal Effects

Once vehicles are stored onto the terminal. Any additional stuffing and/or striping of cargoes from or into vehicles are no longer allowed to un-authorized persons.

This measure is being applied to increase security level and in accordance with the International Ship & Port Facility (ISPS) & Antwerp Port Labour regulations.

The required intervention is either to be contracted to Antwerp Euro Terminal at real cost by shippers or the vehicle in question has to be re-collected from the terminal.

 

F- Storage charges

The shipper will be charged for the storage of vehicles which exceeded the 42 days free period.

 

G- Military vehicle

the shipping company will not accept to ship any cargo in any kind of military painting (e.g. sand, camouflage, etc.) or with any military signs.

 

H- VIP service

VIP service can only be applied on cars or small vans which are:
* in full adherence to the Group's Cargo Modalities
* self propelled and in normal driving condition
* not showing any visible body / structural damage
* empty / clear of any personal effects (no stuffing of any goods allowed in VIP vehicles!!!)


In case of claim, contact us immediately! You have to send as soon as possible a report established by the shipping compagny agent to the port of destination and an estimation for the repairing of the damage.
